Renewing Work & Residence Permits with Current Employer

Since the implementation of the new work permit and changes to the related visa and residence permit procedures and laws in April 2017, the renewal process consists of three steps, of which step 2 and 3 require one's original passport, and no overseas travel before you get the new residence permit.

  • Step 1: Work Permit renewal online application – approximately 5 working days


  • Step 2: Work Permit renewal physical application – approximately 5 working days.

    Your passport could be returned by the next day of filing, if necessary.


  • Step 3: Residence Permit renewal application – approximately 7 working days

    Your passport will be held by the Public Security Bureau during this time. International travel is not allowed because you will not have your passport. We suggest that people avoid domestic travel because some airports, airlines, train stations, trains, and hotels domestically accept the receipt by the Public Security Bureau, while others do not. We suggest along with the receipt issued by the Public Security Bureau, you have a copy of your passport, latest visa or residence permit, and last entry stamp as a photo on your phone so you can easily access it, if necessary, during this time.


NOTES: 
  • The processing time above is based on procedures for work permit Category B and residence permit for Shanghai. Such may vary from one city to another.

  • Before the Covid-19 virus, the work permit Category A processing time is much faster (5 working days for both online application and renewal hard copy filing) because the hard copies are not required. 

  • In recent times due to the Covid-19 virus, presenting the physical documents for the work permit renewal is unnecessary in many cities for both Category A and B. 



The work permit system requires applicants to submit a renewal application at least 30 days before the expiration date stated on the work permit. The application will be automatically blocked by the system if it is not submitted on time. Please check our previous article about the consequences for overstaying your visa in China.


Required documents for a work permit online application:

  1. The Work Permit Renewal Application form needs your signature on the last page. Make sure that the signature is the same as on the passport.

  2. Some agents and HR managers may request a copy of your current residence permit and your last  entry stamp, as well as a copy of your work permit card and/or the details after scanning the QR code on the work permit, as to update the information in the application and/or have on file because such is particularly needed for the hard copy filing of the documents



Required documents for work permit renewal hard copy filing:

  1. Original Chinese labor contract

    Must be in Chinese and include the following: 

    a) Exact contract period

    b) Position

    c) Work content

    d) Working time in China per year

  2. Original old and new passport (if you have changed the passport number or other personal information in the meantime)

  3. Original work permit card

  4. Original Temporary Resident Registration Form, issued by the local police station (update it, first, with the new passport number or other personal information updates, if applicable)

  5. Individual income tax report

    Only required for applicants in Shanghai, Beijing and Shenzhen who are applying via the points system or shareholder or legal representative of the company, for other areas it is otherwise as requested.



Required documents for Residence Permit renewal:

  1. Passport (at least has two blank visa pages) and valid for at least six months. Please note that if your passport is valid for less than the time you are applying, you will only receive a residence permit for at most equal to your passport's validity date.

  2. Original Temporary Residence Form from the local police station. We suggest you obtain a new one near the time of your application. Some officers at the Public Security Bureau Entry and Exit Bureau do require a new copy. The officer will check the original and take a copy. Link to the article to obtain the temporary certificate.

  3. Two color photos with a white background of 48*33mm (2-inch) (the standard acceptable size for Chinese visas) taken within six months. Please note that the photos are not required in some places in China where a photo will be taken when you apply, instead.

  4. Letter from your company with the company stamp. We suggest you make a copy for your records, as the original will be taken by the officer and not returned.

  5. Application form. In some places, this is printed at the PSB Entry and Exit Bureau and is mostly pre-filled, but you will handwrite the missing information. In other cases, you need to bring a printed pre-filled form.

  6. Copies of documents: Passport identity page, current visa, latest entry stamp, renewed work permit card (copy of the front and back), as well as a printed copy of the detailed information after scanning the link on the work permit, temporary registration from the local police. We suggest pre-preparing these copies. Some offices of the PSB Entry and Exit Division have copy services available while others do not. In some locations, the copies are free, while there is a fee in other places, and the price varies between locations. These copies will be taken and not returned along with the original letter (number 4).



Please note:

# These are the commonly accepted documents.

# In most cities, you do not need to process your residence permit at the Entry and Exit Bureau's main office. You can submit it to one of the district offices. However, you generally cannot pick up your passport there. You can choose to pick up your passport at the PSB Entry and Exit Bureau's main office, or you can have it sent back to you by mail. We suggest you pick it up in person if there are any problems with your new residence permit, and you can immediately take care of it. Also, there is always a chance of your passport getting lost in the mail.

# In Shanghai and many other cities, the general procedures are to have a digital photo printed, print off an application, draw a number, and submit your documents. Some places that do not have the latest technology will require the application form to be pre-printed and pre-filled and the photos already printed. You would have to handwrite any missing information and sign the application form. 

# The officer processing your application has no say or control over the terms of the residence permit you will receive. They can just receive the documents for further decision making and processing.

# If you are applying for a multiple year residence permit, then more documents will be required, depending on the method you are applying. Besides, some copies of the required documents are the same but need to be written differently. You could apply for a five-year residence permit, but you only get a duration of between one and five years.

In rare cases will a work permit be valid for more than one year, but it is possible if you meet certain requirements to have a residence permit valid for more than one year.

We advise everyone to begin the renewal process of their work permit or work visa 60 to 90 days before expiration date (the earliest you can apply for the renewal process is 90 days before expiration date) and you will not lose the remaining time.

# At least before the COVID-19 virus, it was required that your residence permit application be submitted at least 30 days or more before expiry, but some places may be more flexible on this; however, there is no reason to wait until the last minute.
